Considerations in Going Paperless

brian5Brian Bright, Trajecsys CEO, moderated a panel at the national ABHES Convention in San Antonio on February 25, 2016. The panelists from ABHES accredited institutions discussed considerations in transitioning to an online student reporting/tracking system to monitor student qualitative outcomes and included topics the topics:

1) How and why the decision was made to move to an online system.
2) Challenges in gaining acceptance by faculty, administrators, clinical site instructors and students.
3) Efficiencies gained in accountability, reporting communication and work load as a result of the transition.
4) Enhancements in best practices which are expected to lead to improved accreditation ratings.

Skill CheckoffsHow do you know when a student has achieved proficiency in a skill or activity? For most health education programs, an assessment by a site-based preceptor or instructor is used to provide feedback to both the student and faculty on a student’s current abilities.

Whether they are called proficiencies, checkoffs, competencies – and whether they’re composed of a single item (“Satisfactory”) or dozens – the

Trajecsys Report System can support each set of items documenting a student’s progress toward professional entry-level abilities. In fact, the report system supports multiple item sets which can remain paired to the same skill or procedure; for example, if a program has a lab competency, a general competency, and a final competency for a single skill, the Trajecsys Report System can provide separate assessments and reports and relate them all to the same skill. Initial setup of all assessments is provided at no charge! Just send us the currently used paperwork and we’ll handle the onboarding process.

Post Announcements and Send Email through Trajecsys Report System

dmailbox1Improving both the efficiency and speed of communication between user groups are reasons why the Trajecsys Report System represents a quantum jump from paper-based recordkeeping.

Post targeted announcements on student or preceptor home pages – so any time a student or preceptor logs in, your latest message is there to see.

Send emails to specific groups of users, too…goodbye to maintaining extensive distribution lists – since all users provide their own email addresses when they register. And because users can edit their own preferred email address, faculty can be sure they’re sending messages to the email accounts that are being read.

The Trajecsys Report System also has built-in rules which automate the process of communication between user groups. For instance, faculty can configure automated notifications to be sent to preceptors who forget to approve time records after a specified number of days – or remind evaluators that they’re late in completing an evaluation. Faculty also receive automated notifications if certain events happen; for instance, a disapproved time record results in immediate notification to designated faculty.

Notifications can even be sent upon the submission of any form or evaluation – so if an incident report or request for absence is filed, faculty can know immediately.
