Increase Accountability with Improved Reporting from Trajecsys Report System

ReportsFaculty can look at student and program data in a wide variety of ways from the Trajecsys Report System. Some examples:

• Who hasn’t completed a certain skill checkoff yet?

• What’s the average score on this item across all juniors?

• What is the class average for an evaluation from last semester as compared to this semester?

• Which evaluator rates students the lowest?

• Which student is performing below class average on specific items?

• What areas assessed do most students excel in?

• Which student is rated lowest by the same evaluator?

• Which sites provide the most training exposure to a specific procedure?

• What pathologies are most often encountered by a student?

• Which sites or instructors are rated most highly by students?

Export your data to Excel whenever you want for even more ways to view results – whether you want time sheets, logsheets, checkoffs, evaluations or other completed forms.

Student Assignment Scheduling from Trajecsys Report System

AUTOMATE A TIME CONSUMING CHORE!

Student Assignment SchedulingWe know that there’s a reason so many programs have a faculty member called a “clinical coordinator.”

It’s a time-consuming job to match students to locations, to notify students and sites of the schedule or of changes, to figure out who’s best assigned where, to know how many hours each student might have at the end of a rotation based on the clinical or lab slots they’ve been assigned.

The Trajecsys Report System can move your spreadsheet-based system online, providing a faster way to schedule, re-schedule and visualize who’s where. Whenever a rotation schedule is finalized, sites and students can know at once who’s going where, on what dates. Updates made by faculty can be automatically reflected in the schedule available to both sites and students. Let us show you how we can re-shape and speed this tedious process up using our online tools to calculate hours and communicate assignments rapidly.

Forms and Journals from Trajecsys Report System

MORE ADVANTAGES TO GOING PAPERLESS

Forms and JournalsForms may not be the main reason why your program is thinking of going paperless, but you’ll soon think of new ways to use the Trajecsys Report System!

Many programs create a faculty site visit form to document when a someone visits a site or student. Students can keep journals of their activities or comment on their specific activities or experiences on a regular basis. Incident report forms, absence request forms, policy acknowledgement forms – whatever you need to document or review – why not make the process easier by going paperless?

Considerations in Going Paperless

brian5Brian Bright, Trajecsys CEO, moderated a panel at the national ABHES Convention in San Antonio on February 25, 2016. The panelists from ABHES accredited institutions discussed considerations in transitioning to an online student reporting/tracking system to monitor student qualitative outcomes and included topics the topics:

1) How and why the decision was made to move to an online system.
2) Challenges in gaining acceptance by faculty, administrators, clinical site instructors and students.
3) Efficiencies gained in accountability, reporting communication and work load as a result of the transition.
4) Enhancements in best practices which are expected to lead to improved accreditation ratings.

Skill and Activity Logs from Trajecsys Report System

Skill and Activity LogsThe Trajecsys Report System allows students to report progress toward mastery of specific skill sets as designated by each program.

Students may report the skill, level of participation (observed/assisted/performed), supervising instructor or preceptor, time spent, pathology, or other available data points.

Proficiency checksets (also known as competencies, checkoffs, validations, etc.) are then associated with each reported activity on the same report for a rapid visual overview of the student’s progress in mastery of each skill or procedure. Spreadsheet export is available to both the student or faculty.

Time and Location Tracking from Trajecsys Report System

MONITOR STUDENT LOCATION AND ARRIVAL TIME

Time and Location TrackingThe Trajecsys Report System can track student reporting of lab or clinic arrival and departure. Students have the option of reporting from a computer at the location, or by clocking in or out using a mobile device. If a site computer is used, ip address is recorded; and if using a mobile device with GPS, student location can be displayed.

Times can be verified and approved by site employees or faculty.

Faculty can log in at any time, from anywhere, to see which student is at which location, and when they got there. For some programs, it’s important to document faculty visits and times at sites also; programs can approvetimes1extend this functionality to allow tracking of faculty site visits also.

Skill Checkoffs from Trajecsys Report System

CREATE UNLIMITED SKILL CHECKOFFS OR COMPETENCIES

Skill CheckoffsHow do you know when a student has achieved proficiency in a skill or activity? For most health education programs, an assessment by a site-based preceptor or instructor is used to provide feedback to both the student and faculty on a student’s current abilities.

Whether they are called proficiencies, checkoffs, competencies – and whether they’re composed of a single item (“Satisfactory”) or dozens – the

Trajecsys Report System can support each set of items documenting a student’s progress toward professional entry-level abilities. In fact, the report system supports multiple item sets which can remain paired to the same skill or procedure; for example, if a program has a lab competency, a general competency, and a final competency for a single skill, the Trajecsys Report System can provide separate assessments and reports and relate them all to the same skill. Initial setup of all assessments is provided at no charge! Just send us the currently used paperwork and we’ll handle the onboarding process.
